A useful first AI task at project closeout is to compare what the owner should receive with what your team has actually collected. Ask it to prepare a missing-document list tied to specific installed products. Give the project manager the evidence needed to accept the packet.

Procore’s closeout guide, updated July 24, 2026, describes handover documentation that includes operation and maintenance manuals, warranties, product data, and drawings reflecting the finished work. It recommends collecting records during construction and organizing them so the owner can find what they need. That makes document readiness a concrete place to explore AI assistance.

Datum’s recommendation is a narrow completeness check. The output is a review list with a source beside every proposed match or gap. This is a proposed operating method, not a claim that a particular AI product can certify a project’s closeout.

Start with the required list and the installed list

A folder of PDFs cannot tell an assistant everything that should be in that folder. Have the project manager supply the applicable handover requirements and an accepted record of installed products. Add the collected manuals, warranties, and other relevant documents as a separate source set. A requirement should come from your project records or an accountable reviewer, not the model’s idea of a typical remodel.

Consider a hypothetical kitchen remodel. The final appliance record lists one dishwasher model, but the handover folder contains the manual for an earlier selection. A file-name search might report that a dishwasher manual exists. A useful check identifies the model mismatch, links both records, and leaves that requirement unresolved. It does not download a plausible replacement and silently mark the packet complete.

Make each gap easy to assign

  • Required item: name the document or owner resource, with the project requirement that calls for it.
  • Installed product: identify the room, equipment, and model from the accepted installation record. Mark missing identifiers as unknown.
  • Candidate evidence: link the actual document and page that appears to satisfy the requirement.
  • Review status: use missing, possible match, conflicting, or accepted. Reserve accepted for the designated reviewer.
  • Next action: name who should resolve the gap and what evidence they need to provide. Draft requests for review before sending them.

These are Datum’s suggested fields. Keep the distinction between a missing file and a missing fact: a warranty document may exist while its product coverage remains unclear. The reviewer needs that uncertainty exposed before an owner receives the packet. Where requirements themselves are unclear, route the question to the project manager instead of creating a new obligation.

Test a false finish before trusting a clean report

Anthropic’s agent-evaluation guide distinguishes what an agent says happened from the final state its work produced. It also recommends defined inputs and success criteria, with repeated trials because results can vary. Applied here, “packet complete” is an assertion to check against the records and reviewer decisions.

Build a small practice packet from authorized, completed-project records. Have an experienced team member mark the expected gaps before running the assistant. Then introduce a few deliberate problems: the wrong model’s manual, a missing required document, a duplicate file, and an unreadable scan. Keep an intact version as well, so you can see whether the assistant invents gaps when the evidence is sufficient.

Grade two separate errors: real gaps it missed and false gaps it sent a person chasing. Also record the minutes a reviewer spends checking the result. A system that catches missing documents but creates a long list of unnecessary requests may add work. Never let a good-looking summary offset a missed required item in the pilot review.

Finish with an owner retrieval check

After your reviewer accepts the contents, ask someone unfamiliar with the job to find the care instructions for one installed item using the owner-facing packet. Verify that they can open the right document without access to your internal project account. This checks the handover experience that a completeness score alone cannot establish.

For a first pilot, choose one equipment category on one completed job. Compare the AI-assisted review with your existing process, preserving both the gap list and the human corrections. Expand only when the work is easier to inspect and the review time makes sense. Keep project completion and release decisions within your established approval process.
